We are looking for a well organised and enthusiastic Executive Assistant for our CEO. In this brand-new position, you will be based in either our Oslo or Stockholm office and will play a key role in supporting both the CEO and our Executive Management Team. You will also have additional ad-hoc operational tasks which ensure the effective running of our Oslo/ Stockholm office.

Your responsibilities will include:

  • Partner closely with our CEO to best support them in creating efficient time management of their calendars, ensuring a balance between meetings, focus time and personal time
  • Organise and coordinate complex travel arrangements and schedules, coordinating both internally and externally with stakeholders, creating detailed itineraries and needed confirmations
  • Support the CEO in screening incoming calls/ messages, acting as gatekeeper and redirecting certain enquiries or taking ownership yourself to respond and resolve
  • Organise internal and external events on behalf of the CEO, e.g. investor meetings, team workshops
  • You'll join regular meetings with the CEO and support by preparing the agenda and taking minutes during these meetings
  • Collaborate with the CEO on financial administration such as invoices and reimbursements of expenses
  • Provide wider support to the rest of our Executive Management in finding efficiencies in their schedules and supporting them with ad-hoc requests
  • You will also take over office management tasks to make sure our Oslo office operations are up and running (e.g. facility management, support with ordering supplies, booking meeting rooms, assuring that the office runs correctly)

Who you are

  • Demonstrated track record of supporting executive leadership in a similar role
  • Experience in a matrix organisation or rapidly growing start-up companies
  • Expert in time management with experience in managing multiple calendars, ideally across multiple time zones
  • Outstanding communication skills, both written and verbal, in English. Norwegian is a plus.
  • Ability to coordinate a team with a lot of moving parts, you thrive in a fast-paced environment
  • A deep understanding of how best to achieve operational excellence for an executive team
