About the Role

 

The IT Procurement Assistant is responsible for supporting the procurement activities related to the acquisition of IT hardware, software and IT services used by Infront's employees or used within Infront Datacenters. This role involves working closely with the IT department, vendors and internal stakeholders to ensure that procurement processes are efficient, cost-effective, and compliant with organizational policies. The IT Procurement Assistant will be based in Amsterdam and report to the Head of IT Infrastructure & Operations.

Key Responsibilities:

  • Assist in the procurement process for IT-related goods and services, including preparing purchase orders, obtaining quotes, and coordinating with vendors.
  • Maintain records of all procurement activities, including contracts, purchase orders, and invoices.
  • Track and manage delivery schedules to ensure timely receipt of goods and services.
  • Liaise with vendors to obtain pricing, negotiate terms and pricing, and resolve any issues related to orders or deliveries.
  • Maintain a database of preferred vendors and ensure relationships are managed effectively.
  • Assist in evaluating vendor performance and reporting on vendor reliability and service quality.
  • Support the management of IT inventory, ensuring that records are accurate and up to date.
  • Assist in asset tagging, tracking, and disposal processes in line with company policies.
  • Coordinate with the IT department to ensure assets are deployed effectively across the organization.
  • Assist in monitoring IT procurement budgets, ensuring that expenditures are within approved limits.
  • Prepare cost analysis reports to help in making informed purchasing decisions.
  • Identify opportunities for cost savings and efficiency improvements in the procurement processes.        
  • Ensure that all procurement activities comply with organizational policies and relevant regulations.
  • Maintain thorough documentation for all procurement activities to support audits and reporting requirements.
  • Assist in the preparation of procurement reports for management review.
  • Collaborate with internal stakeholders to understand IT procurement needs and ensure requirements are met.
  • Provide regular updates to stakeholders on the status of procurement activities and any issues that may arise.
  • Assist in the resolution of disputes related to procurement processes or deliveries.

Who you are

 

You are a perfect fit for the role, if you have:

  • Bachelor's degree in Business Administration, IT, or a related field.
  • 3 plus years of experience in procurement, ideally within the IT sector.
  • Good understanding of the IT domain, IT products and services.
  • Proficiency in procurement software and Microsoft Office Suite (MS Excel).
  • Analytical and problem-solving skills, together with good attention to detail.
  • Strong organizational and multitasking abilities.
  • Good communication and negotiation skills.
  • Good spoken and written English language skills.
  • Ability to work well in a team and manage time effectively.
